Guide

Apollo docs

Apollo is your desktop command centre for every WordPress site you run. Connect a site once, then manage posts, media, updates, health, and growth — all without leaving the app. This guide mirrors the help built into Apollo itself.

Getting started

Connect a site once and it's there every time you open the app — no rebuild, no lock-in.

  • Add your first site — open Sites from the top of the rail and choose Add site. Apollo connects to any live site over the WordPress REST API with a revocable Application Password; the free Apollo Helper is optional.
  • Open a site — click a site in the rail or the Sites list to enter it. Its tools — Create, Care, and Grow — appear in the sidebar.
  • Keep it healthy — the Health page scores your site and shows what to fix first. Smart Care walks you through updates and cleanup in one guided, review-first pass.

Getting around

Apollo borrows its shape from the apps you already know — a rail on the left, a sidebar of tools, and a search bar up top.

  • The rail — the dark strip on the far left. Sites and Notifications sit at the top, your pinned and open sites in the middle, and Help, Settings, and your account at the bottom.
  • Tools sidebar — open a site and its tools fill the sidebar, grouped into Create, Care, and Grow. Hide the ones you don't use from Settings.
  • The Omnibar — the search bar in the title bar. Press ⌘K to jump to any page, open a post, or run a quick action by typing.
  • Page help — every page can explain itself. Press ⇧⌘/ (or type “help” in the Omnibar) for a short guide to whatever you're looking at.

Create — everyday content

Everything you'd normally log in to do, faster and nicer, with the keyboard always at your fingertips.

  • Posts & pages — create, edit, and organize posts, pages, and custom post types in a clean writing editor.
  • Media — browse and upload the library; scans for unused, large, and missing-alt files reclaim storage and improve accessibility.
  • Comments — moderate pending, approved, spam, and trashed comments; approve, reply, or mark spam from each row.
  • Appearance — activate and install themes, and build menus, all in one place.
  • Plugins — install, update, activate, and remove plugins, or add one from the directory.
  • Users — manage WordPress accounts and roles; edit a user to change their role or reset a password.

Care — health & safety

Apollo watches your sites so you don't have to, then helps you fix what it finds — always review-first, so you approve every change.

  • Health — one honest score across updates, security, speed, media and more, with the exact things to review. Smart Care runs a guided cleanup you approve step by step.
  • Uptime — track whether the site is up and how fast it responds; Diagnose explains an outage and Repair can attempt recovery.
  • Updates — see and apply core, plugin, and theme updates. An update that breaks the site rolls back automatically.
  • Backups — create a backup before risky changes, and restore one to roll the site back.
  • Performance — read the optimization checklist and measure real load times and Core Web Vitals, page by page.
  • Security — audit the site, apply one-click hardening, and match plugins and themes against the Wordfence vulnerability feed.

Grow — traffic & audience

Apollo isn't only about maintenance — it turns a site you keep alive into a site that performs.

  • Traffic — see views, visitors, devices, and top content over any range, with campaign attribution.
  • SEO — on-page checks and a score, with one-click fixes and redirects; set per-post titles and descriptions.
  • Marketing — plan posts on a content calendar, run a site-wide announcement bar, and track UTM campaigns and conversions.
  • Audience — a subscriber list and contact CRM, forms you build from templates, and newsletters you broadcast to a segment.
  • Links — trackable UTM campaign links, branded short links on your own domain, and a single bio-link page.
  • Reports — compile traffic, uptime, and health into a branded report you can export as a PDF or email to a client.

Many sites as one

Run everything you look after from one window — the more sites you keep, the more Apollo saves you.

  • Sweep updates, health checks, and cleanup across every site at once from Fleet.
  • Group sites by client and watch everything from a single list.
  • Pin favourite sites to the rail and jump between them instantly.
  • Notifications from across all your sites gather into one place.

Free & Pro

Apollo is free to manage and watch over your sites. Pro unlocks automation and up to 25 sites when you're ready for more.

  • Free — connect up to 3 sites and see everything: Health, Security, SEO, and Speed scores, the full content editor, manual fixes, and a safety-net backup.
  • Pro — up to 25 sites, one-click Smart Care and all-sites sweeps, one-click SEO and security fixes, marketing, newsletter and campaign tracking, and shareable client reports.

Seeing what needs attention is always free — Apollo doing the work about it is what Pro unlocks. Manage or upgrade your plan any time from Settings → Account → Plan.

Your data stays yours

Apollo runs on your own computer and talks directly to your sites — no middle-man service ever holds your keys.

  • Runs on your machine — the content you manage goes directly between your machine and your sites, never routed through servers we control.
  • Passwords kept safe — connection secrets live in your computer's own secure store, never in plain text and never on our servers in a form anyone but you could read.
  • No rebuild, no lock-in — works with your existing sites exactly as they are; connect one in seconds and remove it just as easily.
  • Private sync — your settings sync across your own devices with end-to-end encryption.

The full Privacy Policy has the details, including the beta build's opt-out diagnostics.

Getting help & feedback

Every page explains itself, and the developer reads every note.

  • Press ⇧⌘/ on any page for a short, contextual guide to what you're looking at.
  • Open the Help Center from the rail for a fuller guide — getting around, managing sites, shortcuts, and plans.
  • Send feedback straight to the developer — a bug, an idea, or just hello. Your notes shape what Apollo becomes.
